PUBLICATIONS COMMITTEE
Tentative ideas
1. Review the work accomplished at previous meeting
- charge and mission statement and objectives
- tie in with Board goals, long range planning, outreach plans
- what do we want to achieve
2. Consider the interests and talents of the committee in proposing a work plan including a priority list and/or calendar of work for the year (prepare possible response to opportunities to publicly support gay marriages, other news trends, etc.)
3. Resources include the UUA publicity web page, Interconnections PR pages, the UUA handbook (PR section), Marketing 101 for UUs, Research what other UU churches consider newsworthy, PR article in UU WORLD, etc. Other resources sought.
Formal Charge from the Board
to oversee the church-wide and outreach paper and Internet publications, including brochures, newsletter, website and email lists, and related advertising (i.e., newspaper, yellow pages).
First Draft of Mission Statement and Objectives
Mission Statement: We will guide the church's internal and external text communications and develop effective PR opportunities.
Objectives: to oversee structure and consistent content of internal and external text publications
to serve in advisory capacity to web page manager, list manager, newsletter editor, and managers of other communication
to facilitate publicity by other church committees and groups
to determine formal policies for web, UUpDate, e-lists, newsletter, brochures, PR
to develop both individual and church-wide PR methods for greater outreach
to work with the newsletter, the website and the Board toward a coherent voice
to manage the possible inconsistencies between what appears in the newsletter and UUpdate . The Coordinating Council decided that a group, acting as a Publications Committee, should look into this. Sarah Hendrickson, Martha Osgood, Ann Fuller and Cindy Pitcairn volunteered to be involved, and it was agreed that Kim and our newsletter editor, Susan Verner, should be included in their discussions.
Categories for future discussions and work
1. UUpDate
* automatic subscription upon request and upon becoming member of church
* policies for content
* discussion of structure and possible revisions of same
2. Brochures
* web URL on every internal brochure
* inventory current stock, contact church office and committee chairs regarding this
* create acceptable print-guidelines/policies
* UUA brochures (read and/or order here )
3. PR * look for opportunities to encourage the church to become visible (ie, public discussion event about Sinkford's comments that UUs need more God in their churches, etc) - external publicity
* letters to the editor protocol
* coordinate church events with the wider community (Eugene Celebration? Bach Festival?)
* news corrections of possible errors or misconceptions
* run appropriate stories about local and national church events and news in the RG, Weekly, radio, other media (ie, support of gay marriages...)
* plan calendaring of regular stories for the year, ie:
Sinkford on using the word GOD in UU churches
RE curriculum
Sermon topics
Guest speakers
Choir performances
Membership classes
Adult RE
Social Concerns
UFO and UU Singles events

4.5 There are some broad policies or bylaws for the newsletter, but they've never been put in one place nor agreed to or honed by a committee.

* find eager assistant webster to handle potential e-newsletter
* document the management of website and lists so others can take it over if needed
* research process of educating congregation in value and use of website for newsletterm and otherwise, including:
web URL notes all over the church, on greeter's table, in OOS, on bulletin boards, on church business cards
market survey to anticipate measurable readability level now and set direction for future
prompt people to use the website by featuring web page descriptions in print newsletter and UUpDate on a rotating basis
consider special email list for folks who have web access and email but need advice with how to use it (also regular
e-classes, a list of folks who will be available for on-call tutoring/troubleshooting over the phone)
aim toward significant e-newsletter readership by Jan 1, 2004

8. UUCE Publications Policies
- PUBLICATIONS
PUBL.1 The content, editing, and format of each issue of the newsletter are the responsibilities of the appointed Newsletter Editor.
PUBL.2 The Publications Committee will regularly review Newsletter policy and practices, and shall serve in an advisory capacity to the Editor. The committee will regularly review UU publications on the web, and shall serve in an advisory capacity to the Webmaster. The committee shall also oversee various UU email lists and the UU news information that is provided on email. (revised 6/12/03)
PUBL.3 Committee chairs are responsible for the publicity of matters within their jurisdiction, and for submission of news items relative to their committees to the Newsletter Editor and the Webmaster. On behalf of the Board of Trustees, the Secretary shall provide a summary of Board actions for inclusion in the newsletter and copies of the Board minutes for the web. (revised 6/12/03)
(There is no Policiy PUBL.4)
PUBL.5 Priority for inclusion of items in the newsletter shall be:
(1) Announcements of future church events
(2) News of church programs, events, members, and summary of Board of Trustees actions,
(3) A column by the Minister,
(4) Comments and suggestions submitted by members and friends of the church, and,
(5) Brief notices of community events of probable interest to the church.
PUBL.6 The Publications Committee and/or editor shall set the schedule for the newsletter.
PUBL.7 Other public relations issues, including church-related advertising, that are not delegated elsewhere may be handled by the Publications Committee. (revised 6/12/03)
9. How to manage the possible inconsistencies between what appears in the newsletter and UUpdate .
10. Choose NAME for Newsletter (to distinguish it from the UUpDate for newcomers), choose logo for church and website (the "globe/chalice" was not CHOSEN by anyone; it's just what we have used.
