NON-BOARD POLICIES
RENTAL POLICIES AND GUIDELINES
(for use when rentals are available, which they are NOT, at this time)
It is the policy of the Unitarian Universalist Church to make its beautiful building facilities available to individuals and groups in the community that seek to serve and enrich human life, whether through the arts, education, politics, recreation, business, celebrations or other activities that are compatible with church policies. We ask that you adhere to the following policies and guidelines when renting the facilities.
1. PUBLICITY: Do not use the church name as the sponsoring organization in any advertising or promotional literature for your event, unless it is an "official" Unitarian Universalist Church event. Do not publish the church phone number as the number to call for further information about your event.
2. RESTORATION OF PREMISES: Leave premises and equipment in the same condition as when your event began. If the church has set up chairs and tables for your event, it is not necessary for you to put them away. If you have moved equipment or furniture, please return it to its original location. Renters are to assume full responsibility for repairs required to restore to original condition. Decorations or other materials may be placed on walls and windows only with materials that do not damage or mark such surfaces, and all decorations are to be removed at the conclusion of the event.
3. FACILITIES USED: Use of premises is restricted to only those indoor and outdoor facilities and those times which are specified in the Lease Agreement. Use of the facilities MUST BE TERMINATED AT THE AGREED UPON TIME to accommodate the church official who is assigned to close and secure the building at the conclusion of the event. Late departures will result in forfeiture of part of all of the deposit.
4. CHILDCARE FACILITIES: If renters are using a portion of the facilities for childcare, no person under the age of 18 years may be solely providing that childcare.
5. EQUIPMENT USED: Renters may be granted permission to use the piano at an additional charge. No food or beverages are to be placed on the instrument.
6. CARE OF FACILITIES: Renters should be particularly cautious with food and beverages to avoid spills on the carpets. If spills do occur, they are to be immediately wiped up. Disregard for care of carpets will subject deposit to forfeiture. Candles are to be used only with advance permission and only in fireproof containers. Any decorations used near candles must be fireproof. Protection must be used so as to prevent candle was from spilling on the carpet. Bird seed is the only allowable material that may be thrown (in outside areas only) at weddings. Rice is not permitted, and spray confetti is absolutely forbidden.
7. USE OF KITCHEN: Use of the kitchen may include all equipment and appliances in the kitchen. Renters are to bring their own consummables, including coffee, tea, sugar, cream, etc. Renters are to supply their own tablecloths and napkins. All dishes belonging to the church are to be washed and put away. Instructions for use of the dishwasher are posted in the kitchen. All garbage is to be removed from premises or disposed of in appropriate receptables outside, following posted instructions. Any food stored in the refrigerators must be removed. All coutertops and tables are to be cleaned and spills wiped up from the floor.
8. ALCOHOLIC BEVERAGES: No alcoholic beverages shall be served or available during the leased period unless prior permission is granted by Lessor.
9. SMOKING POLICY: Smoking is not allowed in the building and must be confined to the deck. Smoking materials are to be disposed of in containers provided.
10. ANIMALS: Animals are not permitted in the building, except for seeing eye dogs.
11. NOISE: NOISE MUST BE KEPT WITHIN ACCEPTABLE LIMITS AT ALL TIMES SO AS NOT TO DISTURB NEIGHBORS. THERE IS A CITY ORDINANCE WHICH FORBIDS NOISE WHICH WILL INTRUDE ON NEIGHBORS AFTER 10 PM.
12. EMERGENCIES: In the event of emergencies, phone numbers are posted in the kitchen by the phone. There are also fire extinguishers in the Social Hall/Kitchen area and the Gallery.
THE RESPONSIBILITIES OF BEING A 'KEYHOLDER'
of The Unitarian Universalist Church in Eugene
1. The Board of Trustees has charged each person in possession of a key to the church who opens the doors (or a door) to be responsible for closing the doors, locking them, being sure that the heat and lights are turned off, and checking on certain fire hazards. If you are not willing to accept that responsibility, please return your key to the office.
2. Before leaving, check all DOORS to be sure each is closed tightly and locked (someone may have gone out a different way, or opened a door for ventilation). The front doors and the back door off the Fireplace Room are especially hard to close. Do not rely on automatic closers. The two front doors can be locked "open" by turning the key in the lock (toward the hinges) while holding the opening lever down. It is released by simply turning the key in the lock (the opposite way). Check to be sure it locks!! Please ensure that all doors to the Audio Room are locked (even if you don't have an audio key). If you don't have a key, lock the door to the Fireplace Room from the inside and exit the Audio Room by the double doors into the Sanctuary. Push the door until it latches shut.
3. Turn off all LIGHTS not otherwise marked. Inside, three banks of fluorescent lights (over each doorway in the Sanctuary and over the kitchen counter) are left on for security, as are incandescent lights outdoors over the ramp and the social-room porch.. Light switches are located:
* for hallway and Sanctuary, on the left wall outside the double doors;
* for restrooms, by the doors;
* for foyer and front of church, on the south side of the main entrance (inside);
* for Social Hall, by the door adjoining the foyer;
* for Kitchen, on wall to right of sink, next to the back door.
4. Check the HEAT. Except in freezing weather, all thermostats are shut off when the building is vacant. There is a dial in each restroom. Turn to the "OFF" position. In the main Sanctuary, the thermostat is on the west wall (to the left of the closet doors). Flip the switch down on the thermostat in the Kitchen (above the south end of the counter, between the Kitchen and Social Hall). ** Do not just turn the setting down!
5. If you used the coffee pot, or anything ELECTRICAL, be sure it is turned off or unplugged and locked up if possible.
6. Be sure all candles are completely extinguished.
7. Any glasses, cups, dishes, coffee pots, utensils used MUST BE WASHED AND PUT AWAY before leaving. Do not leave them in the dish rack or on the counters for someone else to take care of.
8. Garbage goes in the outside dumpster (NOT IN THE STOREROOM).
9. Do not lend the key to anyone. If someone is requesting a key from you, please refer them to the Church Office.
10. Spills on the carpet are grounds for forfeiting the rental deposit. But more important, our custodians may not have sufficient opportunity before the next event to remove the spots. So your consideration is greatly appreciated-by the congregation, and by the next renter.
