~ How to BE Welcoming

USHER/GREETER INSTRUCTIONS

Before Service (Greeters/Ushers)

1. Arrive at least 30 minutes before service begins. Wear your name badge.

2. Get materials from kiosk. Put cloth on greeter’s table. Set out:

  • ushers’ logbook
  • name badge request form
  • new name badges
  • newcomer sign-up
  • create Braille hymnals in folders (2)
  • if needed, get out two braille hymnals in bindings (new songbook)
  • blank name tags and pens
  • “Young Adult” sign-up clipboard
  • any other relevant material (e.g., current newsletter, brochures).

3. Put programs and hearing devices AND filled Braille hymnal folders on the small table to the right of the sanctuary door. The Braille hymns and folder are located on the floor in the storage room behind the pulpit.

4. Fill in the logbook on the weather, sermon topic and your name.

5. Put four offering baskets and two “Reserved” signs on two chairs at the back of the sanctuary.

6. Place one hymnal on every seat, including the choir.

7. Greet people warmly as they enter and hand out programs as people enter.

  • The Greeter will stand at the entrance to or outside the church, directing visitors to the greeter’s table for a nametag.
  • The Usher will stand at the entrance to the Sanctuary to hand out programs. It will up to the Greeter/Ushers to decide who will assume which responsibility.

8. Direct people to empty seats if needed. People in wheelchairs may sit where they wish at the end of a row. Follow them into the sanctuary and remove a chair to accommodate them. Encourage children to pick up carpet squares and sit in the circle, and urge parents to sit in the first 2 rows. Direct those who come late to walk around the sanctuary, behind the back row, to find a seat.

9. Leave sanctuary doors open for the whole service. Stay at the entrance until after the offering has been taken and the count made. If the sanctuary is full and there are only a few latecomers, ask them to wait until children go downstairs.

Offering

1. Starting from the front rows, pass baskets to every other row.

2. Take offering to a quiet place for counting (e.g., bathroom, office). Count cash and enter the amounts on the tally sheet. Tally forms and plain envelopes are in the logbook. Indicate cash amount for each service in the logbook. Do not tally checks. Put money in a plain envelope. Keep the envelope with you until after the service (see #4 below).

3. Take head count of people present and enter the total in the logbook. Include the minister, other speakers and the choir in the count at both services. Count children only at intergenerational services. Don’t forget to count yourself.

After the Service

1. Pick up programs left in the sanctuary and reuse the clean ones in the second service. After the second service, put them in the recycle basket under the table to the right of the sanctuary door.

2. Check to make sure the hearing devices are returned, and turned off.

3. Tidy up the sanctuary between services, as well as after the second service. Pick up hymnals after the second service, place them back on the carts and return the carts to the hallway. Return and refile the Braille hymns & folder in storage room.

4. Take the money in the money envolope to the Assistant, Sherry Cox, downstairs.

5. Stay at the greeter’s table for about 15 minutes to answer questions. This is not necessary, if a Membership Committee member is at the table.

6. Before leaving (after the second service), replace materials in the kiosk.

Remember that your most important task is to be friendly, warm and helpful. You are making the first impression of our church. If you cannot answer someone’s question, try to find someone who can, or you may ask him or her to call the office during the week.
